Quick answers to the most common questions about club features.

How do I import my roster from a spreadsheet?

Export your roster from your existing system as a CSV file. The file needs at minimum a wrestler_name column. An email column is optional but recommended -- it links the roster entry to a user account so the wrestler (or their parent) can access match recordings.

Go to your club dashboard, open the Roster tab, and click Import CSV. Map the columns if needed, then confirm. Duplicates are detected by name and skipped.

What happens when we reach our roster limit?

New additions are blocked. You will see a notification on the roster page showing your current count against the plan cap. To add more wrestlers, either upgrade your plan or remove inactive wrestlers from the roster. Archived wrestlers from previous seasons do not count against the cap.

How do parents access match videos?

Parents create an account and join the club using the join code. Once they are a member, they go to My Account and link their wrestler by name or email. After linking, they can see all recordings tagged to that wrestler in the club video library.

Parents see only videos associated with their linked wrestlers, not the full club library. Coaches and admins see everything.

Can a wrestler be on multiple clubs?

Yes. A user account can belong to multiple clubs simultaneously. Each club has its own roster, video library, and subscription. When registering for a tournament, the registration is linked to one specific club.

What's the difference between personal recordings and club recordings?

Personal recordings use your individual storage quota from your MatViz+ subscription. Club recordings use the shared pool from the club subscription. You choose which quota to use when you start a recording.

Personal recordings are visible only to you. Club recordings appear in the shared library and are accessible to all club members based on their role and linked wrestlers.

How do I share a video clip with a wrestler?

Open the match in the replay viewer and create a clip by selecting a time range. Once the clip is saved, click Share to generate a link. The link works for anyone -- no account required. You can share it via text, email, or any messaging app.

Shared links do not expire unless the recording is deleted.

What happens to our videos if we cancel?

Your existing recordings remain accessible for viewing and download. You lose access to coaching tools (annotations, clip creation) and the shared club library view. Individual members can still access any personal recordings they own.

If you re-subscribe, full access to all club features and the shared library is restored immediately.

How does season rollover work?

Go to Roster settings and click Season Rollover. Before doing this, export your current roster as CSV -- this gives you a backup and a starting point for next season.

When you run the rollover, all current wrestlers are moved to an archived state. They no longer count against your roster cap. To re-add wrestlers for the new season, import the CSV you exported (removing any who graduated or left).

Match recordings from previous seasons are retained and remain searchable.

Can we use the platform without a club subscription?

Yes. Tournament operations (brackets, scoring, live streaming) are free and do not require any subscription. Individual users can subscribe to MatViz+ for personal recording and replay access.

The club subscription adds shared features: a unified video library, coaching tools, roster management, and shared storage. It is designed for teams that want to collaborate.

How do I change our plan?

The club owner navigates to Settings > Billing > Manage Subscription. This opens the Stripe billing portal where you can upgrade, downgrade, update payment methods, or view invoices.

Plan changes take effect immediately. When upgrading, you are prorated for the remainder of the billing cycle. When downgrading, the new limits apply at the start of the next cycle.
